Invite new users

Invite users to your Fullcast instance to give them access to the system. After a user is invited and completes the initial login requirements, you can change their user permissions.

Before you begin

  • Only tenant admins and sys admins can invite and manage users.

  • Determine what permission type the user needs.

Steps to invite a user

  1. Go to Settings > Users > User Management.

  2. Click Add New.

    Add user process.

  3. Complete the following fields:

    People

    Optional dropdown list of people imported from the CRM who are available to add as persons in Fullcast.

    Select a person from the dropdown if you are adding an existing person in the system.

    E-mail

    Type in the new user’s email address.

    Note

    Fullcast sends an invite to the email address and the email address is also used as the username.

    Multifactor authentication

    Determines if a user is required to use Multifactor Authentication to log in. Select one of the following options:

    • N/A—Defaults to system configured setting.

    • Enabled—Requires user to log in with MFA.

    • Disabled—Does not require user to log in with MFA.

    Refer to Enable Multifactor Authentication (MFA) for more information.

    Persona

    Optional field with a list of tags you can add to a persons profile. These do not affect access or permissions.

  4. Click Send Invite.

After you invite a user

Once you send the invite, the user's account moves through this process:

  1. The user receives an invitation email and a password reset email.

  2. The user accepts the invite, sets a password, and completes MFA setup if required. Refer to Log in to Fullcast for the first time for the full process. Their status changes from Invited to Active.

  3. Fullcast automatically designates the new user as a Role Based Access User.

What you do next depends on what the user needs:

  • If Role Based Access User is correct for them—a tenant admin still needs to assign them a role in coverage. Until that happens, they'll see the error message “You don’t have access.” when they log in.

  • If they need a different permission type (Tenant Admin, Sys Admin, or Reporting)—the user must complete their initial login first. You cannot change a user's permission type until they have logged in at least once. Once they have, go to Configure user permissions to update it.
