Properly managing user permissions is crucial for maintaining data security and ensuring operational efficiency within your Fullcast environment. By assigning the appropriate permission levels, you can empower your team members to perform their designated functions without granting unnecessary permissions. 

Role Based Access User

Role Based Access User permission type is the default and foundational permission level for users who actively work within your territory or team plans, such as sales leaders and managers. A user's visibility is determined by which role(s) and where they are assigned in the territory or team structure.  Additional permissions can be layered on top as needed.

Common use cases:

  • Sales Managers—assigned to a specific territory hierarchy or team to manage their direct reports, make assignments, and view performance data relevant to their node in the hierarchy.

  • Customer Success Managers—view and manage their team's book of business in a customer success plan

  • Sales Leadership (such as VPs or Directors)—placed at higher nodes in the hierarchy to gain broader visibility across multiple teams or regions.

Reporting

The Reporting permission type is ideal for users who need to view the go-to-market plan including territories, quotas, policies, while also providing the ability to create and edit reports. This is the only editing capability granted to this role. This access level prevents cluttering the plan with coverage assignments made solely for visibility purposes. 

Note

Reporting access can be combined with role-based access. Users with a Reporting access type can also be granted role-based read and write permissions through territory or team coverage assignments.

Common use cases:

  • Finance and Commissions Teams—access to view all necessary data, build custom reports for financial analysis, and calculate commissions without the risk of altering plan structures.

  • Regional Ops—monitors performance and activity across their entire region and create specific reports to track key metrics. In addition to their Reporting access, they may have territory or team coverage assignments allowing them additional read/write role-based permissions.

  • Executive Leadership— has a complete overview of the entire sales structure and performance and generates high-level reports for business reviews.

Sys Admin

The Sys Admin (System Administrator) permission type is tailored for users responsible for the technical setup and maintenance of the Fullcast environment, without needing access to the planning data itself. This includes managing the connection with Salesforce, monitoring import and export jobs, adding and validating fields, and managing other system-level settings.

Note

Users with Sys Admin permission cannot view any of the territory structures or assignment data unless they are assigned role-based access in addition to the user access type.

Common use cases:

  • IT Administrators—manages the integration between Fullcast and other systems like Salesforce.

  • Business Operations (BizOps)—responsible for the technical aspects of both Salesforce and Fullcast can use this access to ensure seamless data flow and system integrity.

Tenant Admin

The Tenant Admin (Tenant Administrator) permission type is the highest level of access and provides unrestricted permissions across the entire Fullcast tenant. A Tenant Admin can see and modify all data, manage all users, and configure all settings.

Common use cases:

  • Primary Fullcast Owners—key stakeholders responsible for the overall strategy and operation of the Fullcast platform.

  • Head of Revenue Operations—owns the sales planning and execution process and requires full control over the tool.
