Add Users and Configure Access and Permissions

Fullcast will invite one Tenant Admin during the provisioning process. That Tenant Admin will then need to add additional Tenant Admins. Any Tenant Admin can add Users and configure access and permissions.


1. Definitions

  • User: An individual with a unique login ID to the Fullcast platform. There are two basic User types Tenant Admin and Non-tenant Admin (also called Standard User). User types are set in the Settings → Users → Edit User  
  • Tenant Admin: A user that has full access to the modules of the Fullcast Platform, as well as Read/Write permissions for all modules.  
  • Standard User: A user with specific access and permissions for reading/writing data. 
  • Access: pertains to the ability to view levels of the hierarchy within the various modules of the Fullcast platform. Access is delegated via Role-based Coverage Assignments. 
  • Permissions: pertain to the combination of Read/Write ability within the various modules of the platform. Permissions are delegated via the Permissions settings of each unique Role. 
  • Role: a pre-defined user/person profile, which typically corresponds to a job title or go-to-market role. Role configuration entails setting up Ramp profiles as well as Permissions. Once Roles are defined, Users may be assigned to specific Roles within Nodes in Territory, Team, or Product Hierarchies. 
  • Assignees: People records that are imported into the Fullcast App via a Data Integration, such as CRM, and are given Role-based Assignments. These people may or may not have a User in the Fullcast Platform. 

2. Primary Admin Login 

  1. Fullcast will invite one tenant admin during the provisioning process.
  2. The first tenant admin will log in.
    1. Please follow the steps to log in to Fullcast for the first time
    2. Note: You will receive two emails with instructions. They need to be followed in a specific order, which is outlined in the above documentation. 
    3. Important: The documentation says to contact the Tenant Admin, which for the first user is Fullcast. Let us know when you have created your login. We will update your access rights. 

3. Inviting Additional Tenant Admins

  1. The first tenant admin will invite other users (and then update their access)
    1. That first admin needs to invite new users by Inviting New Users
    2. Each user needs to complete both steps of Login to Fullcast for the First time before you can toggle on the tenant admin in the next step.
  2. That first admin updates the user settings to Tenant Admin, which is outlined in the article Set a User as a Tenant Admin.
    1. Note: The persona picklist is just a tag and doesn’t govern the admin privileges. You will need to select the Yes radio button to enable admin permissions

4. Adding Non-Tenant Admin Users


  1. Tenant Admin creates and edits Roles needed. 
    1. Create the role: Create, Edit, and Delete a Role
    2. Configure the preferred combination of Read Only vs Read/Write permissions: Role Permissions
  2. Tenant Admin Creates Coverage Assignment
    1. Go into the applicable Plan module (e.g. Territory or Team) and create a coverage assignment for the user: Creating Normal/Temp assignments. This step determines what modules the user has access to, and can further limit to only specific nodes. For example, say we have a Head of Sales who we want this person to only be able to view the AMER region (and not APAC, EMEA, for example), we would create their Head of Sales assignment at the AMER level. 
  3. Tenant Admin Invites Users 
    1. A tenant admin needs to invite new users by Inviting New Users
    2. Each user completes both steps of Login to Fullcast for the First time.
    3. Match Username to Email Address: In the Salesforce Sandbox that is connected to Fullcast preprod, you will need to remove the UAT suffix from the username so that the Username matches the email address that they will be using to access Fullcast. This is how we match the visibility to the user.
