New Hire Policy Overview
This article provides information regarding the New Hire Policy. Fullcast's new hire workflow allows you to easily set up actions triggered by hiring an employee.
Overview:
- This Co-Pilot Policy automates employee hiring workflows.
- The New Hire Policy is triggered by signals from either Salesforce or HRIS systems during data imports.
- It creates an assignment for new hires, sometimes replacing an existing TBH record, based on matching manager attributes and assignment details.
- It assigns new hires to unassigned territories matching role/type criteria, prioritizing the earliest available dates.
- Implements necessary changes (e.g., territory reassignments) and pushes updates to Salesforce on the termination date.
How it Works
Automated Detection
Co-Pilot automatically detects when a team member is added during the import process and initiates the new hire policy. If a team member is relocated within the team, Co-Pilot identifies the action and adjusts accordingly.
Effective Date Management
The effective date for the new hire is automatically determined by either the event occurrence in Salesforce (when a new user is created) or a specific field on the new hire’s record. The exact trigger depends on the configured policy settings. This ensures that all records are up-to-date and accurate.
Confirmation of To Be Hired (TBH)
Co-Pilot streamlines the onboarding process by searching for TBH positions under the same manager with matching attributes. If multiple TBHs match, Co-Pilot selects the one with the earliest start date, ensuring a smooth transition and efficient use of resources.
Assignment to Unassigned Territory
If no TBHs are found, Co-Pilot proactively looks for unassigned territories that meet the role/type criteria. It then automatically assigns the new hire to the role, prioritizing territories by the earliest date to ensure optimal and efficient assignment. This feature guarantees that all territories are adequately covered and new hires are effectively placed.
Creating a New Hire Policy
- Access your Fullcast instance and switch plans if applicable.
- Click Manage Policies by Territory on the Policies tile.
- Click New Policy.
- Click Add Policy on the New Hire Policy tile.
- Identify the effective date for the hire.
- Identify the new hire’s manager.
- Complete the Assignment Details section based on the information provided in the table below:
Option | Description |
Assignment Type | The type of assignment the new hire has: temporary or normal (permanent). |
Assignment Role | The role the new hire will assume. |
Productivity Profile | Select a productivity profile if applicable. |
Assignment Start Date | The date of the new hire. |
Assignment End Date | The termination of assignment date. |
- Click to enable the “Confirm TBx (if it exists)” option if applicable.
- Select the appropriate people field from the dropdown menu.
Note: If a to-be-hired (TBH) or to-be-replaced (TBR) record is associated with the manager or team, the new hire will be confirmed based on selected fields. If multiple TBx records match, one will be selected.
- Click to enable the “When No TBx Exists” option if applicable.
- Select the appropriate role for the “the manager is assigned to” field.
