Creating TBx (TBH, TBT, TBR) Assignments


This article provides information and directions for creating a TBx placeholder. When planning your go-to-market strategy, you should account for future staffing changes like hiring, replacements, or transfers. To plan for these changes, Fullcast uses TBx placeholders. 

A TBx represents a future employee. There are three types of TBxs: 

  • To Be Hired (TBH): A new role that needs to be filled. 
  • To Be Transferred (TBT): A role that will be vacated and needs to be refilled. 
  • To Be Replaced (TBR): A role that will transition and needs to be replaced. 

Once created, TBxs can be used for forecasting, setting targets, and calculating ramp-up times. To maintain data accuracy, ensure the correct assignment type and user are selected. 

To Be Hired (TBH)

TBH is a placeholder for a future employee. It represents a planned new position within your organization.

Scenario: Enterprise is a rapidly growing tech company experiencing exponential sales growth. To keep up with increasing customer demand, the sales leadership decides to expand the sales team. 

The company creates a TBH placeholder for a new SDR position. This placeholder helps forecast increased lead generation, allocate resources for onboarding and training, set realistic sales targets, and determine the necessary infrastructure for the new hire. 

To Be Transferred (TBT)

TBT represents an existing employee who is scheduled to move into the seat from a different team or department within the organization. 

Scenario: Enterprise has a Senior Account Manager who is being promoted to a Client Director role. The company creates a TBT placeholder for the SAM position to anticipate the upcoming vacancy. This placeholder helps determine replacement timelines, assess client impact, plan for hiring, and ensure smooth client transitions. 

To Be Replaced (TBR)

TBR represents an existing employee who is transitioning to a new role within the organization. While they are moving internally, their current position will need to be filled. 

Scenario: During the Enterprise’s growth, it is decided to promote Neelix to Channel Manager. The company creates a TBR placeholder for Neelix’s current role to anticipate the upcoming vacancy. 

Setting Up Clone Fields

Setting up clone fields in tenant settings is necessary to create a TBx placeholder. 

  1. Access your Fullcast instance and switch plans if applicable. 
  2. Click the Settings icon (gear) in the navigation bar. 
  3. Click the Tenant Settings tab. 
  4. Navigate to the People Settings section and select the appropriate field to clone from the “People Clone Fields” option. 
  5. Click Save.


After 20 minutes you can see the configuration changes. 

Creating a TBx Placeholder for Territory Coverage

Create TBx placeholders to plan for future assignments. 

  1. Access your Fullcast instance and switch plans if applicable. 
  2. Click Manage Coverage on the Territory tile. 
  3. Click Add. 
  4. Select the appropriate assignment type: to be hired (TBH), to be transferred into a role (TBT), or to be replaced (TBR).

Notes:

  • If cloned fields are enabled, the default display is TBx. When selecting a user, the system prioritizes existing TBx users of the same type. If no matching TBx user is found, a new placeholder record is created. Conversely, if cloned fields are not set up, the default display remains TBx. For TBx types, users can select any user, including normal users, or the default TBx value. However, for normal or temporary assignments, only non-TBx users can be selected.
  • The role assigned correspond to their respective productivity profiles. Upon selecting the role the productivity profile and name fields will automatically populate. Refer to the Creating Normal/Temporary Assignments article for additional information on creating normal and temporary assignments. 

  1. Select the role of the user from the dropdown menu. 

Note: Having well-defined roles helps streamline the assignment process by ensuring members are assigned to roles that align with their job functions. Also, if the employee will use the Fullcast app (for example, as a Sales Manager), be aware that the role you assign them will determine their access and permissions to different app modules. Refer to the Roles Permissions article for additional information. 

  1. Select a name if applicable. 

Note: When selecting a TBH, TBT, or TBR, the name field will default to a placeholder if one exists. 

  1. Input a start and end date. 

Note: Start and end dates allow you to have a record of when a person was in a certain role in a given territory. Additionally, these dates become inputs for other aspects of your model such as productivity profiles and targets. While start dates can be adjusted to reflect past or future assignments, accuracy is essential as it directly impacts productivity calculations and subsequent target setting. 

  1. Click to enable the “Populate Assignments into custom fields on accounts” option if applicable. 

Note: Enabling the “Populate Assignments into custom fields on accounts” option is used for custom integrations and provides you with the ability to populate assignment IDs into custom fields, overwrite values already in a field, or populate only if the field value is empty or null. 

  1. Click Next. 

Note: TBT (to be transferred) placeholders do not require the following steps. Click Next, review the productivity assumptions and click Save. 

  1. Select a role you would like to use as a clone and identify the team this role belongs to. 

  1. Confirm field values and click Next. 
  2. Confirm the productivity assumptions and click Save. 

The placeholder is created.
