# Track licenses

## Licensed users

Licensed persons are either imported from the CRM or manually added to Fullcast and meet one of the following criteria:

- Have active, inactive, or future assignments
- Have person level target in team design
- Are round robin participants in a routing policy
- Are a default user in a routing policy

> 
> - A person can consume a license in Fullcast without having a log in or accessing the system directly.
> - Tenant admins do not consume a license unless they meet the licensing criteria.

### View the number of licenses

1. Go to **Settings > Tenant Settings**.
2. Under **Licenses**, view the following:
  1. **Purchased Licenses:** The total number of licenses purchased.
  2. **Number of licensed Users:**The total number of people consuming a license.

3. Click **Licenses Report** to download a CSV report with details regarding licensed people.

### Manage licenses best practice

These are recommended processes to manage licenses in Fullcast.

#### Apply a filter on the import job

If there are groups of people that do not need to be imported into Fullcast, you can apply a filter on the import job.

- **For standard import jobs:**[Add filters in the **Entities & Fields** settings](/v1/docs/import-jobs#applying-filters-to-standard-import).
- **For custom import jobs:**Contact your CSM with the requirements and product support can update the filter.

#### Use the People Details panel

When the [details panel is enabled](/v1/docs/tenant-settings) for people, the name in the Employees table becomes a link that opens details for that specific person. The details panel will display any assignments or targets a person is assigned.

Use this information to determine how a person is licensed in Fullcast.

#### Use the PeopleState field

**PeopleState**is a Fullcast generated field that determines a users status within Fullcast. You can use this information to identify which people are consuming a license.

1. Log in to Fullcast.
2. Go to **Teams > Team Organization > Employees**.
3. In the Employee table, refer to the **PeopleState**column. The following is a list of the people state types:
  - **Empty/Null**: A person who is added to Fullcast and active in the CRM.

> Note
> 
> Only people who have an empty PeopleState are licensed, but not every person with the empty/null PeopleState consume a license. The license is determined by the criteria mentioned in the [Licensed users](/v1/docs/track-licensed-and-unlicensed-people#licensed-users) section.
  - **DELETED:** User who was deactivated from the CRM.

> Note
> 
> Deactivated users become unlicensed and the PeopleState will automatically change to **DELETED**.
  - **UNLICENSED**: A user who is not licensed in Fullcast.
  - **TBH**: To be hired—a placeholder for a person that will be hired in the future.
  - **TBR**: To be replaced—a placeholder for a person who left a position that needs to be replaced.
  - **TBT:**To be transferred—a placeholder for an internal transfer into a position that was vacated.
