How to Use Maximum Balancing Criteria in SmartPlan
When you choose the maximum balancing criteria in Smart Plan, you are setting a maximum limit for a certain criterion that can be assigned to each territory. With these criteria enabled, each territory cannot have more accounts assigned to it than the maximum limit specified.
- Access your Fullcast instance and switch plans if necessary.
- Click Manage Accounts on the Territories tile.
- In the left navigation panel, navigate to the appropriate territory.
- Click the More Options icon (three horizontal dots) and select Add Hierarchy from the dropdown menu.
- Click Smart Plan.
- Complete the necessary information in the Basic Config section based on the information described in the table below.
Option | Description |
Number of territories to build | A required, user-defined field that identifies the number of territories to build for this Smart Plan. |
Maximum no of accounts per territory | An optional field for users to define the maximum number of accounts allowed in this territory. |
- Click Add Criteria in the Prioritized Balancing Criteria section.
- Select Maximum from the dropdown menu.
- In the Maximum section, add a maximum number of accounts.
- Optionally, filter the accounts by clicking Create Criteria and adding your additional criteria. You can use a single condition or a group of conditions with an ‘AND’ or ‘OR’ operator. Click OK when you are done.
- Identify how you want unassigned accounts managed: “Leave them in unassigned” or “Distribute them among territories.”
- Identify how you want named accounts and named exceptions to be treated.
- Consider whether to include or exclude child accounts in Smart Plan balancing.
- Select the applicable option from the Treatment of Account Families section.
- Identify whether to include or exclude child accounts in Smart Plan balancing.
- Complete configuring your Assignments based on the information in the Assignments section.
- Click Save Changes.
Maximum criteria scenario
Let’s imagine a scenario where Spain contains a total of 1,020 records. The objective is to divide this territory into three territories, each containing a maximum of 10 records that meet the criteria of having several employees greater than or equal to 50. Once the maximum criteria are applied in the Smart Plan, three child nodes – Spain_1, Spain_2, Spain)3 – are generated. After allocating 10 records to each territory, the remaining 990 records are placed in unassigned.
Assignments
When configuring a Smart Plan, you can now create and add assignments. To do this:
- Scroll down to the Assignments section and click on the blank field to assign people to the newly created territories.
- Select the user role from the dropdown menu.
Notes:
- When building a smart plan and adding assignments, selecting a role different from the previously chosen one will prevent saving. This is because the assignment aligns accounts based on a specific field listed on the account record, matching it with the person receiving the assignment. If assignments are omitted, these particular criteria are disregarded during territory construction, resulting in all accounts being left unassigned due to the absence of criteria for matching account records with person records.
- The Productivity Profile is automatically populated after role selection.
- Define the start and end date of the assignment.
- Click Save.
